The Administrative Assistant position is a crucial role within our Over the Phone (OPI) department, contributing to the seamless execution of services, invoicing, and payroll. As a key member of our team, the Administrative Assistant is responsible for managing essential tasks and providing top-notch customer service across various assignments. ESSENTIAL DUTIES & RESPONSIBILITIES

  • Accounts Setup: Administrative Assistant is instrumental in setting up direct OPI services for our valued clients. This involves efficiently managing the onboarding process, ensuring smooth and timely access to our direct OPI interpretation services.
  • Helping new or existing clients with logins to preschedule interpreting services.
  • Reviewing and Approving Time Sheets: With a keen eye for detail, the Administrative Assistant meticulously reviews and approves time sheets submitted by interpreters, ensuring accurate records of interpretation sessions.
  • Delivering Exceptional Customer Service: The Administrative Assistant excels in delivering outstanding customer service to both clients and interpreters. They respond promptly to inquiries, address concerns, and ensure overall satisfaction.
  • Tracking and Reporting Interpreter Usage: The Administrative Assistant maintains a comprehensive record of interpreter usage, monitoring service metrics, and generating insightful reports to inform decision-making and enhance service delivery.
  • Staff Education: This position actively participates in staff education initiatives, staying updated on industry best practices, emerging technologies, and the latest developments in interpretation services.
  • Coordination with Contracted Interpreter Service Providers: As a liaison between our organization and contracted interpreter service providers, the Operational Support ensures smooth communication, efficient workflows, and collaborative partnerships.
  • Video Conferencing and Telephonic Interpretation Sessions: This position actively engages in video conferencing and telephonic interpretation sessions, providing vital language support to bridge communication gaps between clients and individuals with limited English proficiency.
